1. Attachments

Type A: Figurative type (photographs, drawings, engravings, etc.)

In its appropriate Tab each attachment shows the corresponding slug, with both front and back section: A1-f, A1-b, A2-f, A2-b etc. (e.g. ID 142 karl-alexander-albert-jahn-1881-03-08).
Images should be included in the apt section (Attachment images), where will be transcribed also any additional text present on the image.

Type B: Written attachments (attachments needing a transcription: additional notes, lists, articles and press or reviews clipping, etc.)

Type B.1. One sender: one letter + additional note
Single document where the two transcriptions (letter + note) are transcribed one after the
other, separated by a space.
No data will be added in the Tab Attachments

Type B.2. Two senders: two letters addressed to Burckhardt
The two letters are treated separately, there will be a “link” indicating the relationship
linking “mother” letter (t.i. the most recent letter sent, in the same or in a separate envelope) and “daughter” (t.i. the less recent letter “included in”)
This information will be added in the appropriate Tab Relations

Type B.3. Two senders: two letters, but only one addressed to Burckhardt
A sender adds to his own a letter previously received: the attachment is therefore a letter sent to third parties and forwarded to Burckhardt for his information. The attachment scans are displayed right after the scans of the missive addressed to Burckhardt.
The Tab Relations indicates the presence of this additional letter, while the section Letter Comments shows the transcription of the text.

2. Cards

Postcards: Front is conventionally considered the side with the address, and Back the one with the written text.
Visiting cards: Front is conventionally considered the side with the printed name.

4. Correspondent’s Name

Correspondents’ name will be standardised according to the Deutsche National Bibliothek (surname, name), Personen section (eg, Seemann, Ernst A. ). In case the standardised name is impossible to find, than the one indicated by the author will be considered valid.
In case of two entries for the same correspondent on the DNB (e.g. His, Eduard / His-Heusler, Eduard), as well as for aliases, these will be shown in the resource, Metadata section.
Women: also maiden names will be kept (indeed it will be easier later to find all the biographical data) when the composed name is the standardised form or the common one (women often don’t have any other identity).

5. Bibliography

Letters will be considered «Published» only if edited in their full length and not just in excerpts.

• Monographs: Name SURNAME, Title, publication place year. In case of two different publication places, both cities will be added, but separated through / . No space before, nor after.
• Article in anthologies: Name SURNAME, “Title”, in: Name SURNAME, Title, publication place year, pages.
• Article in periodicals: Name SURNAME, “Title”, Title of the periodical and his number (year), pages.

6. Dates

Departure/arrival reference data are those on the envelope (sure – computable – unknown).

Sure: only dates appearing on the stamp.

Computable for departure (no departure stamp available or illegible date): departure will be considered computable only in case of a very short time span between writing date and the one indicated on the arrival stamp.

Unknown: no stamp is available.

7. Envelope

If there is no envelope, the only field to complete is «Sender». Exception: sheets used as envelope.
Sender Address and Recipient Address: superscripts and indentions are not kept in the transcription, while new lines and underlinings are shown.

9. Main

Editors consider letters those messages addressed to a receiver, so a Sender and/or a Receiver must be specified on the document. Invitations, Separata, Receipts and Invoices, and in general any impersonal document, are excluded from the letters corpus. Exception: Circulars.
Letters undergo a specific typological subdivision: Circulars  and Drafts have a special check box.
The original letter is preserved, but there is also a ‘variant’ – draft or copy. These letters will be kept, but won’t appear as part of the official corpus. Their relation with any corresponding letter will be appropriately signalled in the section Letter Comments.

10. Page

This tab includes general information about the material, i.e. size, single or double leaf, ink, paper colour and writing tool, while other information such as those concerning the letterhead must be signalled on the corresponding page in PAGES (information already present in Page – colour etc. – should not be re-added).

11. Pages

Any additional information on single pages and/or envelope (front and back): B.’s original notes, removed stamps, tore addresses, etc. Page and Envelope labels are only added when there is something to report (e.g. notes by B.).
Double Leaves whose second leaf is torn: these leaves are labelled as «page» (‘p’) and a comment is added in «pages» (on the corresponding page). On the first page is indicated the removal of the following leaf: the original double-leaf becomes therefore a leaf.

12. Places

In Place recipient/sender geocoded address, names of both Swiss and German cities can be equally added in German or in English, while Historical Compilation Places must be added in the original language written on the manuscript.
Place sender geocoded address: if possible it should be used the contemporary place name in order to link an appropriate spatial location (e.g. the Kalbsgasse has been arbitrarily translated into French and has therefore become Rue des Veaux: this is the contemporary address that should be geocoded).

14. Reused White Sheets

i.e. white sheets of previously received letters used by JB for drafts. A special note on the metadata will inform about JB’s hand, but no transcription is needed.
In case of drafts previously published in Max Burckhardt’s edition (BB), then a bibliographical indication is needed (volume and letter number, e.g. eduard-habich-aq-1890-03-29 draft of JB’s answer to Habich inside the same envelope, BB IX, 1300).

15. Special Characters and Short Forms

Glyphs will be transcribed with normal characters e.g. georg-adler-1890-10-15 Poznań is transcribed as Poznan.
In metadata transcription, abbreviation and contractions will be added in their extended form e.g. ludwig-von-pastor-1895-12-28(ef)

16. Unidentified Author

Unknown: In the case of letters with undisclosed sender, the corresponding slug will be: unidentified-author-year-month-day.
